It is our goal to make your visit with us as smooth, efficient and enjoyable as possible. Please help us by familiarizing yourself with our office policies detailed below and by following our simple courtesy rules:

- No food or drink in the exam rooms except breast/formula for infants
- Use cell phones in common areas respectfully and do not use during your child’s workup and exam
- Help us keep the office clean so that each visit can be enjoyable for all
- Take all dirty diapers to the outside trash bins

We offer many options to provide easy access for appointments. Well checkups, rechecks and consultations are scheduled in advance, however slots open 3 days in advance to accommodate last minute changes of plans and add on appointments. Checkups can be scheduled up to 3 months in advance and for children under 18months appointments are made at checkout for the next visit. To schedule an appointment please call our office during normal business hours (8:30-1:00, and 1:45-5:00) You can also make a same day sick appointment by calling as early as 8:30 AM, or by using the patient portal where you can make sick appointments and recheck appointments up to 3 days in advance. If your child’s condition changes before your appointment time please call us, or call 911 for a true emergency.
- We make it easy for you to see upcoming appointments on the portal and encourage you to complete the pre visit intake forms from the convenience of home.
- We do not accept walk-ins, except for true emergencies. All walk in patients will be triaged and given an appointment time. To avoid waiting, please call first. For life threatening emergencies call 911.
- Pease help us stay on time by arriving on time for your appointment. If you are more than 15 minutes late you may be rescheduled for the next available appointment.
- Please call with 24 hours notice to cancel an appointment. If a cancelation call is not received by 8:30 am on the day of the appointment a fee may be charged. A pattern of missed appointments will result in dismissal from the practice
We are contracted with many insurance companies and file claims on your behalf. Copays and 50% of all deductibles/coinsurances are due at the time of service. Please be aware of your plan’s benefits and limitations. You are responsible for any portion not covered by your plan. Statements are posted on the portal monthly and payment is due upon receipt. Payments can be made on line.. Extended payments require contacting our billing manager to set up a payment plan. Please bring a copy of your insurance card to every visit. Payment is due at the time of service for patients without insurance. Ask us about the VFC program for immunizations. We accept cash, personal checks, Visa, Mastercard, Discover, and Amex.

We often refer to a variety of talented, mostly pediatric specialists in the area for things that need specialty care. We will almost always suggest you start with an appointment with us, although at times and for certain conditions we will make suggestions by phone. It is your responsibility to check with your insurance company and with the specialist to be sure your visit will be covered. If a referral is needed, call our office; we can give you names of preferred specialists and process referrals/forward medical records as needed. Please be sure you call in advance of your appointment to allow time to process the referral. Except for emergencies, there is a 2 day turnaround time for referrals.
Forms are best filled out and given to you at appointments. All children receiving vaccines will be given an updated 3231 immunization form at every checkup. Sports, school, and camp forms can be completed at a checkup free of charge. Most forms require a physical exam within 1 year. If your child has not had an exam please schedule one before asking us to fill out the form. There is a $10.00 fee, due at the time of the request, for forms, including sports, school, camp, and insurance forms, not requested at a checkup visit. Turnaround time is 1-2 business days or sooner when possible. The best way to request a form is via the portal where you can upload a form you need completed directly to us. When completed, forms can be sent back via the portal, faxed, or picked up.
We document all visits and always respect your privacy. Medical records can be sent to a specialist or agency at your request for no charge. Records requested for transfer to another physician, personal use, or sent directly to you will incur a charge, which must be paid before the record is mailed. To request a records release this medical records release form must be submitted. The easiest way is to submit it directly through the patient portal. Turn around time is within 5 business days. Our front office staff answers all calls between 8:30 am and 1:00pm and from 1:45pm until 5:00 pm. The calls are answered in the order received and you may hear a message while waiting for the next available receptionist. Always call 911 for a life threatening emergency. You may call to schedule an appointment, request a form, refill, referral, with a general question or to speak with a nurse. Read here to learn more about the nurse advice line protocol. Always be clear if you have an urgent medical concern. Instead of a phone call, at your convenience you may use the portal to request a refill, a form, or send a secure message to our nurses which will be answered during regular business hours. Regular email may be used for a general question, but we will not send any protected personal health information via non secure email.
We refill prescriptions during regular office hours. Call, or send a request via the patient portal, or have your pharmacy send a request. Refills are done routinely on Monday, Wednesday and Friday and within 24 hours when urgent, unless authorization is required. We will notify you if there are any problems. There is no cost during regular hours; there is a $15.00 charge for prescription refill requests made after hours.
A physician is available 24/7 for you after hour urgent and emergent needs by calling 404-508-1177. For less urgent needs nurse call centers provided by each insurance company are available for your convenience.
